“When we started our services, one of the issues that you were experiencing was that your current solution for secure email was not functioning as you desired. We have since implemented a secure email and a secure document solution. Can you talk a bit about the new solution and its perceived value in your business over the previous solution?”
Jim - “Honestly if I’m not aware of it, that means its working well. Everything is working fine. It’s not even in my conscience mind to reference anymore because it’s done. It’s taken care of. In your industry no news is good news, if it’s working, great. You guys worked hard to get everything in place in the beginning.”
“Another issue uncovered when we started our services was that there was no consistency in your antivirus protection and management of updates. Can you tell me how it makes you feel knowing that we now have a system in place to manage this and you no longer have to worry about updates or security?”
Jim - “Our industry is dependent on secure data and keeping viruses out is obviously the most important thing to protect our database. We use AVG and rarely do I have interruptions on my system that something has been detected. It does happen from time to time and it’s quarantined. I just click a button and it’s removed. Again, very little interaction with the security because it’s working.”
“One request that you had when we initially meant was to have the ability to share calendars. The secure collaboration solution we have implemented not only allows you to have a synchronized solution but also allows you to share resources like calendars as needed. Can you talk about benefit to your company being able to share calendars?”
Jim - “The benefit is there because it allows us to know one another’s schedules. It probably not as utilized as it can be. But there is a ramp up curve that we are still on. I’m probably the most resistant to utilizing it because it different. With that said it’s great to know what others are doing.”
“Another issue we uncovered in our network health check was that users had regular issues with one of your key line of business software packages. We were able to uncover configuration issues with the software and connect with the provider to complete a large change to the way the program works. Can you talk about how the program functions have been since we made this change and how you feel knowing if there was a problem with this program we would be able to take care of it for you.”
Jim - "Again I can’t add a lot of comment other than its working fine and if it was not I would be more cognoscente of the problems, its working great. I haven’t had to deal with any issues. I only see the results of your efforts not the task of getting it done.”
“In looking at the current backup system configuration we revealed that it was not completely backing up all of your data in addition it had not successfully run in quite some time. We implemented a complete backup and data recovery system as part of our Vision Support plan. Can you tell me how you feel knowing that you critical business data is safe?”
Jim - “It’s good to know it’s there. We have not had to draw on it because our system has not crashed. But if our system crashed we are not out of business because it’s backed up. I think to an offsite location?”
“Correct it’s backed up every night in your location and then we also take a disk offsite once a month and store it securely in our data center in the event of a problem with your building.”
“Lastly I know your key requirements for outsourcing your support was a legitimate company that was affordable. Your number one requirement was capable support. Do you feel as though we have delivered on all of your requirements?”

“One of your initial reasons for contacting us was your current support company was not responsive. Can you talk a little bit about how thing were before and how they have been since we started servicing your network in regards to response time?”
Robin – “I think the response time is immediate whereas before it was hit or miss.”
Michelle – “I agree”
“The first issue that prompted you to give us a call was the ‘server emitting a strange noise’. This noise and our network health check revealed some glaring issues with the current setup. The current server was not a server at all but rather a workstation. The server was off and the office was still working as normal. Basically the server was not doing anything for the office. No security, no centralized data for backup, no transiency between desktops. How does it feel now knowing your desktops are not important any more, they don’t have your precious data on them and you could quickly be up and running on another system if something was wrong with the one you normally use?”
Michelle – “Puts my mind at ease. Now I can pull up a coworker’s email and look at the contacts I may need if necessary. There is just so much more versatility being able to bounce between systems, so that works out great. ”
Robin – “I think that’s huge. Before when my computer or Michelle’s computer would go down we couldn’t work. We were just idle.
“Another issue that we addressed was problems with your email. It was reported at the onset of our meeting that you had been experiencing problems with email. We have since migrated you to a totally cloud based email, calendar, sharing and contacts solution. Could you talk a bit about how things were in the past and how they are now?”
Robin – “The biggest change is that if something doesn’t go through it pops up immediately, and you know it didn’t go through. Whereas with Outlook you would get a message maybe an hour later after you thought it had gone through. This change had been quite helpful.
Michelle – “Before we had clients that could just not get our emails at all, they just wouldn't go to them. Often times we wouldn't even be told that they did not get them, they just could not go through.
Robin – “Now with this solution, if there is a problem sending its human error and not the system we are using.”
“One of the questions I had at the beginning of our work with your network was if you had any documentation. Documented usernames, passwords, hardware, software, etc. Your company did not have any of this, don’t feel bad, you’re not alone, most do not. Now that you have documentation on your devices, usernames and passwords can you speak a bit about the value you see in having this information on hand?”
Michelle – “It allows us full access to the computers now”
Robin – “If we have to call, like if something happens on a weekend I could call who I needed to and have the correct information necessary to speak with them. This is a big help.”
“One big issue we found with our audit is that all you precious information was on the workstations and not the server. In addition, we have found that the backup we thought were taking place were not running at all. We have since implemented a fully functional server, centralized all the data from the workstations, and implemented a complete backup and data recovery plan. Can you tell me the value you see in this?”
Robin – “I think this goes back to if one of our computers goes down we can actually move to another and get work done. Instead of waiting on resolution. I know for you (Michelle) having to duplicate all that information would most likely be impossible.
Michelle – “Totally impossible, clearly there is a high value in having this done properly.”

"When we started our Vision service with your company you had no server. In addition you had a system failure and lost data. How do you feel knowing that all the data is now on your own server, secure, and backed up every night?"
Barbra – “I think that it’s great not having to think about it, knowing that we can not lose information. I like not having to copy stuff from home and bring it into the office like I did in the past.”

Daniel – “I like the calendar system we have, it works pretty good. It’s worked out well, it’s relatively easy to use, the guys familiar with it, overall it’s working out good for us.”
"In the beginning we had Quickbooks data at home and you had to move files back a forth from the office to home on flash drives. We have moved that data to the server and set you up with remote access so that you no longer have to move files. Can you talk a bit about how much better or worse things are doing it this new way?"
Barbra – I think it’s much better, I like having access to all the information in the office when I’m at home or away without having to copy it myself or wait to be there.

“I have a small electronics manufacturing business. Computers have become essential in all aspects of the business. Book keeping, cost accounting, order processing, inventory, product bill of materials, etc. are just some of many day to day activities that must be done with records kept. As we grew, we added computers as required, some Macs and some PS’s. However, there was no real plan for having them interact or even safely store data. On top of this there were frequent crashes and other problems that left us wasting time in an area where we had little expertise. Calling outside help was expensive and also time consuming. I know that larger companies have an administrator and help desk. We were not in that position.
After consulting with Frank at Managed Cloud Systems, we added a server computer to our system. All of our essential programs were loaded into the server, and each computer worked from the server. This allowed all the computers to work with the same programs and essential data was stored on the server. Once a week the stored data is retrieved from the server and stored off site.
We also had a Filemaker program that was highly customized used extensively. It also had a large data base that we could not lose. Unfortunately, this program was on an aging Mac that was way past its expected life. Managed Cloud Systems was able to convert this entire program into a PC version within our server. This allowed the program and all its’ data to be operated and stored with all the other programs on the server.
Managed Cloud Systems takes a proactive approach to fixing problems. They constantly monitor the system to prevent problems from happening. And if problems do occur, we don’t try to fix it ourselves (usually making it worse). We call Managed Cloud Systems, and a technician gets on the offending computer to correct the problem. If the problem is more complex, they make a time slot (ticket) so that no one loses a lot of time. They are also there to answer questions and give expert advice.
When I consider the cost of our wasted time, computer down time, outside service, and risk of losing data, the services of Managed Cloud Systems are indispensable.”
"Bristol Marine started using Managed Cloud Systems' Vision system approximately three months ago. We are a full service boatyard located in Bristol, RI. The Vision system promised a lot, and after having substantial time to evaluate all aspects of it, it does indeed take the headaches out of managing our IT infrastructure.
As with many businesses, internet access and email is paramount in our ability to communicate with our customers and vendors. Not long after starting the program we had an instance where our internal network could not communicate with the internet. Managed Cloud Systems quickly ascertained that the issue did not lie with our internet service provider, but a device on our internal network. Within fifteen minutes, there was a technician onsite with his laptop, working on a resolution. They connected to our network on a wireless connection, quickly discovered the issue and resolved it. Their quick response allowed us to not miss a beat.
We have many employees that do not work directly onsite and need to be able to access their system from wherever they may be. We had an instance where an employee was offsite and needed access to their system. A call was placed to the Managed Cloud Systems' offices and a technician responded quickly to the request to set the user up for remote access. They took care of the procedure quickly and efficiently and the employee was able to get back to their job within a very short period of time.
Another facet of the Vision program which is very attractive is oversight of our information technology devices. Everything from our printers to our computers and everything in between is being monitored 24 hours a day 7 days a week. There have been numerous instances where their monitoring software has been able to detect issues with our computers (ie. Out of memory). They quickly check on these warnings from the system and quote and/or advise us on systems that may need to be replaced or upgraded so they do not interfere with our ability to run the business and serve our customers.
As stated earlier, having our systems up and running all of the time is very important to us. This I am told is referred to as “up time” in the computer business. The Vision system has allowed us to have peace of mind that our “uptime” will always be as close to one hundred percent as possible. Their service department always strives to meet this demand. There were two instances where our system was not online, both times they quickly determined that the issue lay with our internet service provider. They contacted the provider and followed up with them on our behalf so the period of downtime could be as short as possible.
The Vision system also provides a documents package. This is a complete overview of our entire network and is performed when they first install the system. It provides a clear view of every computer, printer, network device, etc. Further, you are given a document with all the usernames and passwords for everyone that has access and uses your network. Many times we have had to contact employees or look through hand written notes to find this information. Having all of these centralized also means a much higher degree of security so that this information does not end up in the wrong hands.
Keeping track of updates and software patches has always been an issue. The Vision program has taken all that ambiguity and frustration away. The system manages which patches and updates are needed. The system even schedules when the systems should be restarted if that is required so as to not interfere with our employees using their systems.
Managed Cloud Systems also provides backup software as part of the Vision program. The system that they provide backs up all mission critical data and they provide weekly checks on this system and monthly offsite backup copies.
In closing, shortly after the Vision system was installed, it was discovered that our server was very dated in both hardware and software resources. It was failing in doing some of the most fundamental things we needed it to do. Managed Cloud Systems quickly quoted us on a new server that would better meet our business demands and give us all the peace of mind in knowing that it could meet all of our business needs.
